View Full Version : Outlook 2003 Calendar not working correctly with meetings

We have one user (domain of around 200+ users) using Office 2003 that is having two problems: 1) when she accepts meeting requests the item does not move into her Calendar. 2) when she tries to cancel meetings that have several attendees the meeting does not get removed from the other invited attendees' calendars, it's only removed from the originator's calendar (her).

As far as I know she is the only one having this problem.

We have a mixed bag of Office versions (2K, 2K2, 2K3) which makes troubleshooting the options a bit tricky, and it's difficult to get timely cooperation from the users involved. I have attempted testing by using my machine, a second spare machine, and hers, but the results didn't line up at all. Certain things would behave abnormally, then correct themselves after a while. Hard to explain, but this one user definitely has a persistent issue in Calendaring.

Hi Bankboy, thanks for the post.

If your on a domain, then in theory you will be using Exchange Server and maybe Active Directory.

If so, then the cause would be the configuration of Outlook on her PC. Meaning that it could be user error and that details from the shared calendar are copied to her personal one, also make sure its not writing to a shared hotmail or MSN calendar account, if thats the case then a file called .Mlog is missing from C:\Documents and Settings\username\Local Settings\Application Data\Microsoft\Outlook

If you cancel a meeting request in your MSN Hotmail calendar or in your MSN, The Microsoft Network, calendar in Microsoft Outlook, the meeting is not canceled. Additionally, the attendees do not receive a meeting cancellation. This would be the most common problem that happens with your description.

If it is a MSN or Hotmail Calendar do the following on her machine to fix this:

1. Quit, and then restart Outlook.
2. Open your Hotmail calendar or your MSN calendar.
3. Click the meeting request that you want to cancel.
4. Click Delete.
5. Click Send cancellation and delete meeting when you receive the following message:

The attendees have not been notified that this meeting has been canceled. Choose one of the following:

Send cancellation and delete meeting.

Delete without sending a cancellation.

If its an Exchange Issue, you need to make sure of the following:

1. Its not user error, watch the process she goes through to remove or add meetings.

2. She has access and user rights to the shared calendar. If you you set the default permissions of a new user to Reviewer in the Calendar Properties dialog box. Then, you add a delegate to the new user's calendar. When you view the Calendar Properties dialog box again, the default permissions of the new user are changed from Reviewer to None. If this happens, you need to download then latest Service Pack for the version of Outlook thats used on her system.

Additionally, the Anonymous user is removed from the Calendar Properties dialog box.

If none of these don't fix the problem, can you explain how your domain is set up, it will help provide the next fix and better help you.
